A law firm need to incorporate a Secretary with Dutch.

The candidate will work as legal secretary to one of the partners of the firm and gradually assume more and more office management tasks to finally become the back office manager (BOM). The candidate will carry out all secretarial tasks as described hereinafter, even when assuming the tasks of a BOM.

Place in the organisation.

The candidate works for principally for one of the partners and alternatively for all other lawyers in the firm. As more tasks will be taken on, the candidate will report to the management team of the firm.Tasks:

-Attend telephone calls;
-Receive clients;
-Handle suppliers and others;
-Control all communication equipment works properly.
-Type dictations (through recorders) and work out letters, contracts, memos, etc. ;
-Make translation Dutch-English-Spanish.

-Open and manages files both electronically (computer) and physically (paper).
-Process time sheets.
-Allocate expenses to files or general office costs.
-Draft, prepare and send invoices.
-Payment control.
-Introduce and prepare financial data in computer for bookkeeper.
-Manage office agenda.

-Upkeep to-do-list and carry out issues on it;
-Attend meetings if necessary and make minutes;
-Follow up on issues on the to do list.
-Manage courriers, mail, etc.
-Bank affairs, petty cash, cash cheques, etc.
-Control and order if necessary office needs.


In order to carry out her tasks, the candidate have:
-Good communication skills;
-Good sense of organisation;
-Be orderly;
-Be responsible and willing to assume responsibility;
-Good secretarial skills such as blind typing, knowledge of all Windows Office programs, etc.
-Be fluent in Dutch, Spanish and English;
-Be proactive and willing to take initiative without being a solist but instead a good communicator; be a good observer and sensitive to the needs of the lawyers who work under high pressure.
-Experience in other law firms would be appreciated.
-Potential to become back office manager. This requires all foregoing skills plus a capacity to lead other secretaries and managerial skills.
